This Privacy Policy (“Policy”) sets forth the practices in effect at our website at www.Pilot.Coach (the “Site”), which is owned by Pilot Inc., a Delaware corporation (“Pilot”). This page explains how we collect and use your personal information, and the limited conditions under which we may disclose it to others in relation to the Site and the related applications, services and products offered by Pilot (collectively, the “Services”). By using the Site and the Services you agree that your use is subject to the terms of this Policy (along with Pilot’s Terms of Use and Terms of Service, collectively referred to as the “Pilot Terms”) and you consent to the collection, use and storage of your personal information by Pilot in accordance with this Policy. Except as otherwise expressly stated in this Policy, all references below to your usage of the Services in this Policy shall be deemed to include your use of the Site.
Pilot may change this Policy at any time and will display the changes here in the form of a new (or updated) Policy. Because your use of the Services after changes have been posted indicates your agreement with those changes, we encourage you to visit this Policy on a regular basis. IF YOU ARE NOT COMFORTABLE WITH USING THE SITE OR THE SERVICES IN ACCORDANCE WITH THIS POLICY, PLEASE EXIT THE SITE IMMEDIATELY.
Any term capitalized in this Policy and not otherwise defined herein shall have the meaning ascribed to it by Pilot’s Terms of Service, as in effect from time to time as set forth on Pilot’s Site.
What Personal Information May Be Collected
Personal information means any information that may be used to identify you, such as, your name, phone number or email address.
Pilot may collect personal information about you when you visit our Site or use our Services; request information or support regarding our Services, sign up to receive newsletters, access promotional materials published by Pilot; participate in surveys or promotional activities; or participate in other activities in connection with our Site or Services. The personal information we collect may include the following (collectively “Data”):
Contact Information: Registered users of our Services provide Pilot with minimal personal information that is used to administer our Services. This information includes: first name, last name, email address and mobile phone number.
User Survey Responses: We store registered user answers and comments to online coaching activities. When engaging with Pilot’s Services, registered users regularly complete and answer questions about their professional development in connection with our online coaching activities. Categories of questions answered by registered users include a combination of free form discussion questions and quantitative questions.
Analytics: In order to provide an understanding of how registered users are realizing and taking action while using our Services, we collect certain usage data from registered users to better serve our customers and enhance these Services. We also use Google Analytics to collect and process certain analytics data. Google provides some additional privacy options described at www.google.com/policies/privacy/partners/ regarding Google Analytics’ cookies.
User Feedback & Support: We may collect data if submitted by registered users or Site visitors to us in other contexts. For example, by giving us a testimonial, attending an event we host or entering a contest. How Personal Information May Be Used
We will process your Data only if it is legally permitted to do so, and more specifically in the circumstances described below.
Providing our Site and Services. Pilot uses Data about Pilot’s registered users to perform the Services requested and fulfill its obligations under applicable terms of use/service and for the use of its Services. Where you have not entered into a contract with Pilot (e.g., Site visitors), we process your Data to operate and administer our Site and to provide you with the content you access and request. For example, to download content from our Site or if you fill out one of our web forms, Pilot may use the information provided to contact you about your interest in the Services.
Managing user registrations. If you have registered for an account with us, we process your Data by managing your user account for the purpose of performing our contract with you according to applicable terms of service.
Promoting the security of our Site and Services. Pilot processes your Data by tracking use of its Site and Services, creating aggregated, non-personal data, verifying accounts and activity, investigating suspicious activity and enforcing our terms and policies to promote the safety and security of the Services, systems and applications and to protect our rights and the rights of others. Developing and improving our Site and Services. Reviewing compliance with applicable usage terms. We process your Data to review compliance with the applicable usage terms in our customer’s contract and to ensure adherence to the relevant terms.

We may process your Data to send you marketing information, product recommendations and other non-transactional communications (e.g., marketing newsletters, telemarketing calls, SMS, or push notifications) about us and our affiliates and partners, including information about our products, promotions or events. To the extent your consent is required and you have provided your prior consent, such consent can be withdrawn by you at any time without having to provide any specific reason for such withdrawal.
Complying with legal obligations. We process your Data when cooperating with public and government authorities, courts or regulators in accordance with our legal obligations under applicable laws to the extent this requires the processing or disclosure of Data or is necessary to protect against misuse or abuse of our Site, to protect personal property or safety, to pursue remedies available to us and limit our damages, to comply with judicial proceedings, court orders or legal processes or to respond to lawful requests.
Use of aggregated; de-identified Data.
You also permit us to aggregate the response Data you input into our system in connection with the Services (e.g., your responses to questions in connection with coaching activities) with Data received by other system users (e.g., other system users who have responded to the same questions). We may then report statistics about the aggregated (and de-identified) data sent by you and other system users. In this instance, no individual user can reasonably be individually identified or linked to any part of the information we use in this manner. We may use any such de-identified/aggregated information collected through the Service for any lawful business purpose, including, without limitation, to provide our users and customers with a better understanding of the impact and success of the Services and to compare the overall results between one or more enterprise customers.
Disclosure of Personal Information To Third Parties
Pilot will not sell or give your Data to third parties for their use for purposes unrelated to Pilot’s Services without your permission, except as noted in this Policy and in the Pilot Terms. Pilot may share your Data with our affiliated companies. We also may share your Data with our suppliers, contractors and agents who perform functions on our behalf, with other third party business partners, or in connection with Services offered by Pilot or a request made by you. Examples of third party service providers include, hosting services, audio and video hosting providers, content management systems, and customer relationship management systems. By using our services, you authorize Pilot to sub-contract in this manner on your behalf; you acknowledge that such services are provided in accordance with third party terms and conditions and privacy polices and you agree to abide by such third party terms and conditions and privacy polices.
Pilot may also disclose your Data as we consider necessary to comply with the law or requests by governmental authorities, in connection with litigation, dispute resolution, or administration of this Policy or a possible violation of the rights of Pilot or a third party. In addition, Pilot may disclose your Data in connection with a possible sale, merger, transfer, exchange, purchase, disposition or other reorganization of Pilot and/or its subsidiaries or to (1) conform to legal requirements or comply with legal process served on Pilot; (2) protect and defend the rights or property of Pilot and the Services; (3) enforce its agreements with you, or (4) act in urgent circumstances to protect personal safety or the public.
Use of Cookies
When you visit our Site or use our Services we may collect information through the use of a “cookie”. A cookie is a small amount of data transferred to your browser and read by the web server that placed it there. It works as a sort of identification card, recording your preferences and previously entered information. This type of technology is designed to tell us when you reenter our Site or the Services, where you visit within our Site, and the type of browser you use. You are not required to accept any cookie we might use, although some areas of our Site or Services may not be operational without the use of cookies. You can disable cookies on your computer by changing the settings in your browser. The information collected helps us identify data relating to usage and trends, address any problems with Site/Services administration, and to further improve the Site/Services. Children and Privacy
Neither our Site nor our Services offer information intended to attract children. Pilot does not knowingly or intend to solicit personal information from children under the age of 13. If you are under 13, please do not access our Site or Services. In the event that we learn that we have collected personal information from a child under age 13 without verification of parental consent, we will delete that information as quickly as possible. Security of Personal Information
We are committed to ensuring that your Data is secure. In order to prevent unauthorized access or disclosure we have put in place industry-recognized security safeguards coupled with carefully developed physical, electronic and managerial security procedures to safeguard and secure the Data we collect online (including your personal information). For example, the Services are hosted by Amazon Web Services (“AWS”) and the Data is encrypted both on AWS servers while at rest and while in transit to and from AWS servers using state of the art encryption protocols and software.
Please note that while we have implemented certain industry-recognized security safeguards mechanisms and procedures to protect Data from loss, misuse and unauthorized access, disclosure, alteration and destruction; no method of storage or transmission is 100% secure. Registered users are solely responsible for protecting their passwords, limiting access to their devices and signing out of the Services after their sessions end. We are not responsible for the breach by third parties of the safeguards we put in place to protect the privacy of your Data.
Third Party Websites/Services
Our Site and Services contains access to: (a) websites and services; and (b) links to information on other websites/services, which are not owned, operated or maintained by Pilot. We do not have any control over these other website/services/links, and therefore we cannot be responsible for the protection and privacy of any information that you provide while using or interacting with those websites/services/links. If you choose to utilize or access those websites/services/links, please review the privacy policy applicable to such website/service/link. We make third party websites/services/links available as a convenience to you and Pilot is not responsible for the privacy policies and information collection in connection with any third party websites/services/links. Our Data Retention Policy
Pilot, its affiliates, or its Service Providers may retain your Data collected for the time period required to render the Services. After the termination of the Services or deactivation of your account, Pilot may retain your Data for a commercially reasonable time period for audit purposes or as required or permitted by applicable law. We determine the appropriate retention period for the Data on the basis of the amount, nature and sensitivity of your Data processed, the potential risk of harm from unauthorized use or disclosure of your Data and whether we can achieve the purposes of the processing through other means, as well as on the basis of applicable legal requirements (such as applicable statutes of limitation).
At your written request, we can delete your personal information related to your individual account. When you decide to delete certain information in your account, we will fulfill your request and update this information on our platform. We will also notify third parties that we have authorized to use that information of your request.
